Manage your menu
Add, edit, and organize the items your receptionist quotes and accepts orders for over the phone.
Open the menu editor
In the main sidebar, click Receptionists (under the Build group).
Click the receptionist you want to manage.
In the receptionist's sidebar, click Duties.
On the Duties page, click Manage menu next to the Orders row.
Two menu modes
The menu editor works in one of two modes depending on whether your receptionist is connected to a POS.
Manual (CSV) mode: You add, edit, and remove items directly in VoiceCraft, or import them via CSV. You control names, prices, descriptions, and availability.
POS-synced mode: When your receptionist is connected to Square or Clover, a banner at the top of the editor reads "Menu is synced from Square" or "Menu is synced from Clover." Your POS is the source of truth for item names, prices, and structure. Those fields are read-only in VoiceCraft. The voice-specific fields on each item remain editable in both modes.
Edit an item
Click any item row to open the item panel.
Update the fields you want to change. In POS-synced mode, only the voice fields are editable.
The voice-specific fields available on every item:
Field | What it does |
|---|---|
Pronunciation hint | Helps the receptionist say the item name correctly. Leave blank to use the name as written. |
Voice description | What the receptionist says when a caller asks about this item. |
Mark unavailable for voice | Disables ordering for this item via voice only. Does not affect your POS. |
Click Save.
Add a category (manual mode only)
In the toolbar, click Add category.
Enter a name and click Add.
Import a CSV (manual mode only)
Important: a CSV import is a full replacement of your menu. Items in your current catalog that are not present in the CSV file are removed when you apply the import. Review the preview carefully before clicking Apply import.
In the toolbar, click Import CSV.
Upload your file. The required columns are
category,item_name, andprice. Optional columns includeitem_description,modifier_group,modifier_group_required,modifier_name, andmodifier_price.Review the preview. It shows items to add, items to update, and items that will be removed because they are not in the CSV.
Click Apply import to commit. To cancel without making changes, click Back.
Items are matched by category and name together. An item with the same name in a different category is treated as a new item.
Reload the menu
Click Reload in the toolbar to pull the latest data. In POS-synced mode this reflects the most recent sync from your POS.
What to expect
After saving, your receptionist uses the updated menu on its next call. Toggling an item unavailable takes effect immediately. In POS-synced mode, price and structural changes made in your POS appear after the next sync. The last sync time is shown in the toolbar.
Troubleshooting
Item name and price fields are greyed out. Your receptionist is in POS-synced mode. Change those fields in Square or Clover and they will appear in VoiceCraft after the next sync. Click Reload to refresh immediately.
"Manage menu" is not visible on the Duties page. The button only appears when voice ordering is already enabled for this receptionist. Click Set up under the Orders row on the Duties page first.
CSV import removed items I wanted to keep. The import replaces your full menu with the CSV contents. If items were removed, you can add them back manually using Add category and the item editor, or include them in your next CSV upload. Always review the "Items to remove" section in the preview before clicking Apply import.
CSV import preview shows fewer items than expected. The importer matches rows by category and item name together (case-insensitive). Check your CSV for typos or inconsistent category names. You can cancel at the preview step before clicking Apply import.
