Appointments are not being booked
Troubleshoot when your agent cannot book appointments or calendar sync is not working.
Check these
1. Appointments enabled
Go to your agent's Appointments page. Confirm the appointment booking toggle is on. If it is off, the agent will not offer booking to callers at all.
2. Calendar not connected
On the Appointments page, check the Calendar Integration section:
If it shows
Connect Google CalendarorConnect Microsoft Outlook, no calendar is linked. Connect one.If the agent overview shows "No calendar connected. Bookings will not sync until you connect one," the agent will still attempt booking but appointments will not appear in your calendar app.
3. OAuth token expired
If the integration badge shows "Needs reconnection," the OAuth connection has expired. Go to Integrations, find the calendar provider, and click Reconnect. Until you reconnect, the agent cannot read your real availability and will not offer slots.
4. All slots appear busy
Your agent checks your real calendar before offering a time slot. If your calendar is fully booked or events are incorrectly marked as busy:
Open your calendar app and verify events are not blocking time unnecessarily.
Make sure the correct calendar is connected (not a personal one that has unrelated events).
5. "That time slot is no longer available"
If a caller tries to book a slot and the agent says it is no longer available, someone else booked that slot while the caller was on the line. The agent will offer the next open slot automatically.
6. Appointment saved but not in your calendar
If an appointment shows in VoiceCraft but not in your connected calendar, the appointment card in the Appointments page displays the message: "Booking saved but did not sync to your connected calendar. Reconnect your integration to retry."
To fix this:
Go to Integrations and reconnect your calendar.
Open the appointment and edit any field to trigger a re-sync attempt.
If the event still does not appear, add it to your calendar manually.
Testing
Make a test call and ask to book an appointment.
Confirm the agent offers real available time slots.
After booking, verify the appointment appears in both your Appointments page and your calendar app.
If the agent does not offer any slots, the issue is with the calendar connection or your availability — check steps 2 and 3 above.
